We believe in being honest with you โ€” about everything.

That includes how we handle your information. This policy explains what we collect when you visit our website or reach out to us, how we use it, and who we share it with. We’ve written it to be as clear as possible, because you deserve to know exactly what’s happening with your data.

If you have questions, reach out to us anytime at care@loved.vet.

1. Who This Policy Applies To

This Privacy Policy applies to visitors of our website at loved.vet and anyone who contacts us, submits a form, or schedules a consultation or appointment through our site.

2. Information We Collect

Information You Give Us Directly

When you fill out a contact form, request a consultation, or book an appointment, we may collect:

  • Your name
  • Email address
  • Phone number
  • Your pet’s name, species, age, and general condition
  • Any additional details you choose to share in free-text fields

We only ask for what we need to help you.

Information Collected Automatically

When you visit our website, certain data is collected automatically through cookies and similar technologies. This includes:

  • Pages you visit and how long you spend on them
  • How you arrived at our site (search engine, ad, direct link, etc.)
  • Your browser type, device type, and general location (city/region level)
  • Interactions with our content (clicks, scrolls, form starts)

This data is collected primarily through Google Analytics 4 and advertising platforms (see Section 4 for details).

3. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiry and provide the guidance you’re looking for
  • Manage your information in our system so we can follow up and support you through the process
  • Schedule and confirm appointments, including quality-of-life visits, comfort care visits, and consultations
  • Understand how families find us so we can reach more people who need this kind of support
  • Improve our website based on how visitors navigate it
  • Measure the effectiveness of our advertising across search and social platforms

We do not sell your personal information. We do not use your information to serve you third-party ads on our own website.

4. Third-Party Services We Use

We work with a small number of trusted services to operate our website and manage our outreach. Here’s who they are and what they receive:

Google Analytics 4

We use Google Analytics 4 (GA4) to understand how visitors use our site โ€” which pages are most visited, where people come from, and how they navigate before reaching out. GA4 uses cookies and collects anonymized behavioral data. Google may process this data on servers in the United States and other countries.

You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Zoho CRM

When you submit a contact or inquiry form on our site, your information is stored in Zoho CRM, the platform we use to manage our communications with families. This ensures we can follow up appropriately and keep track of where you are in your journey with us.

Zoho’s privacy policy is available at zoho.com/privacy.

Zoho Bookings

If you schedule an appointment or consultation through our site, that booking is processed through Zoho Bookings. The information you provide during scheduling โ€” name, contact details, appointment type โ€” is stored in Zoho’s platform.

Microsoft Outlook (Scheduling)

We also offer the option to schedule a call or meeting directly with our team through Microsoft Outlook’s scheduling service. If you use this option, your name, email address, and requested time slot are processed by Microsoft.

Microsoft’s privacy statement is available at privacy.microsoft.com.

Advertising Platforms

We run paid advertising to help families in Greater Polk County and surrounding areas find us when they need us. As part of this, we use tracking pixels and conversion tags from the following platforms:

  • Google Ads โ€” to measure how our ads perform and, where applicable, show relevant ads to people who have visited our site
  • Microsoft Advertising (Bing Ads) โ€” for similar measurement and targeting purposes
  • Meta (Facebook and Instagram Ads) โ€” for reach and awareness among families who may benefit from our services
  • Other advertising networks โ€” we may add additional platforms over time; this policy will be updated when we do

These platforms may set their own cookies and collect data about your interactions with our site. Each platform has its own privacy policy governing how they process that data.

If you’d like to limit interest-based advertising, you can adjust your settings through the Digital Advertising Alliance or your browser’s cookie controls.

5. Cookies

Our website uses cookies โ€” small text files stored on your device โ€” to support site functionality and analytics. The cookies we use fall into these categories:

  • Strictly necessary cookies โ€” Required for the site to function (e.g., form submissions)
  • Analytics cookies โ€” Used by Google Analytics 4 to understand site usage
  • Advertising cookies โ€” Set by Google Ads, Meta, Microsoft Ads, and other platforms to track conversions and support ad targeting

You can manage or disable cookies through your browser settings at any time. Note that disabling certain cookies may affect how our site functions.

6. How Long We Keep Your Information

We retain your personal information for as long as necessary to provide our services and maintain our relationship with you. If you’ve been in contact with us but we haven’t been able to support you, we typically retain inquiry records for up to 24 months. You may request that we delete your information at any time (see Section 7).

7. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Correct any inaccurate information
  • Request deletion of your personal information, subject to any legal obligations we may have to retain it
  • Opt out of marketing communications at any time by replying to any email from us or contacting us directly

To exercise any of these rights, please contact us at care@loved.vet.

8. Data Security

We take reasonable steps to protect your information from unauthorized access, disclosure, or loss. Our third-party service providers โ€” Zoho, Google, Microsoft, Meta โ€” each maintain their own security standards and certifications. No method of transmission over the internet is completely secure, but we are committed to handling your data with care.

9. Children’s Privacy

Our services are intended for adults making decisions on behalf of their families and pets. We do not knowingly collect personal information from children under the age of 13. If you believe a child has submitted information through our site, please contact us so we can remove it.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the services we use. When we do, we’ll update the date at the top of this page. We encourage you to review it periodically.
